Time Blocking 101

I am such a firm believer in time blocking. This is the only way for me to ensure that I am getting all the things done each day. I am so excited to share a little more about my process with you.


I, personally, love Google Calendar. I use this, my favorite Denik notebook and Asana to keep track of literally everything. I often say, if it’s not In my calendar it’s not happening. It’s not even a thing in my world. 

I create time blocks from the moment I wake up. I recently shared about my morning routine on Instagram here. I create time blocks for my quiet time, exercise, getting ready, getting the boys ready for school, school drop off- all. The. things.

I also color code my different calendars because I am such a visual person. Pink is personal, purple is my biz and yellow is our family calendar. So simple! 

By the 15th of each month, I like to make sure that my calendar is set up with all my time blocks for the following month. 

In order for me to be more in control of my schedule, I have to plan ahead. That means making sure I have all scheduled appointments in, business development time for my biz, etc. I schedule all client work, meetings, discovery call, etc. after all of my personal blocks are done for the month. This is how my schedule works for me instead of me working around my schedule. Game changer. 

My morning routine literally repeats every single weekday morning. I have those time blocks in from now until the end of time. What tends to vary is my time blocking for my client work. One of the best perks of being a VA is the flexibility! 

I review my calendar for the week ahead every Sunday evening, and make adjustments as needed. Sometimes I even move stuff around the same day because a friend wants to grab coffee or lunch, and that is my love language. I will literally never say no! 

Another super fun feature of Google calendar is the reminder feature! I use this allll the time. This is a great way to alert you about things that don’t need an actual calendar event created. I use it often for bill reminders, library books that are due, dropping someone a card in the mail- the list goes on and on. 

So that is how I time block for myself! I do the same thing for several clients. If you can schedule a month ahead of time, it will make your life SO much easier and ensure that you are having really balanced days.
